<h2>On-line Microsoft Office Training from the team at JPL IT Training Limited</h2>

<p>Since the middle of March 2020 and the start of the Coronavirus we have been able to deliver via Webex a series of short on-line Microsoft Office training courses in Excel, Word and PowerPoint. The length of these sessions tend to be between 2 and 3 hours long. These have gone down particularly well as they are short in duration. This shorter length means that they can be fit in during the day a bit easier. Also it means that you don&#8217;t have to set aside a whole day to attend it! We have also conducted virtual consultancy for a number of our customers to help with a specific need or issue.</p>
<p>Due to the face that are shorter sessions have gone well we have created some new courses. We are launching 3 brand new short courses and can deliver these on line for individuals and groups. The topics for these courses can be seen below and you can view the agendas by clicking on the titles.</p>

<p>These on-line Microsoft Office training courses are ideally suited for beginners in Excel, Word and PowerPoint. They all contain many unknown shortcuts helpful for more experienced users of Microsoft Office.</p>

<p><img decoding="async" width="115" height="105" class="size-full wp-image-8408 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2021/05/Word-icon-e1628864504273.jpg" alt="17 Word Tips: Word icon" />As we step into February, we thought we would send you a list of 17 Word tips for the beginning of this year. Many of you will have been using Word for many years and there have been lots of new features appear over the years.</p>
<p>Hopefully this list of a variety of tips will be helpful to you! <em>From the team at JPL.</em></p>
<p>&nbsp;</p>
<h4>17 Word Tips</h4>
<ol>
<li>Selecting text – the “triple click” on a word will highlight the whole paragraph.</li>
<li>Quick Parts &#8211; these can be used for short phrases or block text to save time. A common use for this is a signature.</li>
<li>Screenshots allow you to insert parts of an alternative window on a PC into your Word document</li>
<li>The F9 button updates a Table of Contents and Bibliography</li>
<li>To insert a column break, its hidden away in Page Layout, Breaks</li>
<li>Bullet points &#8211; most people use the standard dot, but did you know there is a tick bullet point? To create a bullet tick you click on the drop down arrow next to the bullet point button and you can pick it form the list</li>
<li>To insert a text Watermark into a document, choose Page Layout Tab or Design Tab depending on the version of Word</li>
<li>Try Email mail merge marketing from an Excel spreadsheet containing names and email addresses</li>
<li>In Word 2013 you can convert a PDF back in to Word</li>
<li>Creating Autotext in word. If you regularly misspell a word and use an unknown word to Microsoft’s dictionary why not try autotext to create it. Its under File, Options, Proofing.</li>
<li>You can compare (Review Compare) two documents which may contain textual differences and see where they are automatically. It’s an extension of Tracking Changes</li>
<li>I think probably the most powerful feature and well underutilised in word is Styles. Its the foundation for Table of contents, multi levels, indexing and hyperlinking and other features too. It’s found on the Home tab. Particularly good are Heading 1,2,3 etc.</li>
<li>Creating your own Tab and ribbon (this can be used in pretty much all the Microsoft packages). Simply use Customise the Ribbon feature by right clicking on any ribbon and then you can name a Tab and create your own groups for the favourite commands you often use. It’s a great way of keeping all the commands you use a lot in one place.</li>
<li>Format Painter. If you select some text that you want to copy the format of first, you can then click on the format painter button and it will then allow you to format other words the same.</li>
<li>Picture Watermarks. You can also create a picture watermark for your company (Page Layout, Watermark, Picture)</li>
<li>Using the Screen Clipping tool. Insert Screenshot, Screen Clipping will allow you to insert into a document any part of a screen not just the whole screen image. This replaces the Crop tool you used to have to use.</li>
<li>Citations which allows you to reference a book, periodical, journal, web site etc. to the author, year, page number. From these citations, you can automatically build a Bibliography at the end of your document. It’s all in the References Tab.</li>

Have a look below at them!</p>

<h4>Email follow up red flag tasks/manual tasks</h4>
<p>When you create new tasks, or if you flag an email, they will all appear together in your tasks list. A task is different to flagging an email as you create a task from scratch and it’s not attached to an email, whereas flagging an email by default creates a ‘to-do’ item on the task list. (You can always choose to show your to do list on the right hand side) Flags are mainly used when you want to remind yourself to follow up an email.</p>
<p>&nbsp;</p>
<h4>Exporting Contacts into Excel for Word mail merge or pull contacts from Outlook straight into Word</h4>
<p>To export your contacts to Excel, you can add the Import/Export button to your QAT and click on it there or you can click on File, Open &amp; Export and click on the Import/Export button. You will then be able to follow through a wizard to create an exported file in Excel.</p>
<p>&nbsp;</p>
<h4>Create a new Search folder for ‘often searched words or contacts’</h4>
<p>For phrases you regularly search for across mailboxes in Outlook you can create your own search folder from the Folder Tab, Create new Search Folder command. You will then be taken through steps to decide upon your search words, who sends the emails or anyone and who to. After you’ve created the search folder it appears on the left hand side under your mail box near the bottom and simply click on it to initiate the search.</p>

<h4>Schedule view in calendars allows you to quickly arrange a meeting for several people who are free</h4>
<p>Schedule View allows you to see which dates and times are free across multiple calendars. It displays your calendar in a horizontal layout. You can change the view of your calendar to this view by clicking on the ‘Schedule View’ option in the Arrange gallery in Calendar mode. Once you have seen what time and date are free simply click on the bar at the top of the top most calendar and a meeting request dialogue box appears for you to fill in . The recipients of the meeting request are those whose calendars you’ve chosen to show.</p>

<p>Excel is definitely a really useful package, we could even say that it appears to be the most popular one to use out of the Microsoft Office packages (except maybe <a href="https://www.jplcomputer.co.uk/outlook" target="_blank" rel="noopener">Outlook</a>, as it is sometimes used as a mailing package for a business).</p>
<p><strong>Excel courses</strong> continue to be the bedrock of our core business. We have developed a whole range of courses to enable staff to progress through the levels of Excel starting with Basic and going all the way up!</p>
<p>Here’s a summary of what’s in each Excel course:</p>
<p><strong>Customer Comments</strong></p>
<p>Here are some comments off staff who’ve been on our excel courses (there are lots more on our website that you can view <a href="https://www.jplcomputer.co.uk/comments" target="_blank" rel="noopener">here</a>):</p>
<p>“Best part of the course: Use of F11 button. John was helpful and made everything easy to understand”.</p>
<p>“John as a trainer has been patient, thorough and extremely knowledgeable! Best part of the course: the speed was suitable for all levels of people in the group”.</p>

<p><strong>Hints and Tips</strong></p>
<p>We also provide a blog of hints and tips which we update 1-2 times on average a month. There are a lot of Excel hints and tips on the website alongside hints and tips about the other Microsoft Office packages. <p>We can also bespoke i.e. build a course specially for you from existing course material &#8211; just ask us! We can also deliver courses using your own data as well as ours. <h2>Happy New Year! &#8211;</h2>
<p>From everyone here at JPL IT Training Limited, we hope that you had a prosperous 2016 and were able to rest a bit over the Christmas break. We wish you all a happy and prosperous year for 2017.</p>
<p>This year we have a few ideas of courses that we are thinking of running and would love to hear your thoughts on them!</p>
<p>Firstly, we are thinking of running a 2-day PowerPoint course. This course would cover Basic principles on the first day, finishing with some Intermediate exercises and topics. Then the second day would carry off where the first left with more Intermediate topics and finishing with more Advanced topics and ways to really wow people in your presentations at work!</p>
<p>Secondly, we have a 2nd Master Class Excel course in the pipeline and so alongside our current Master Class course, we are thinking of running a 2-day Master Class Excel course which will appeal to those of you that have attended our Advanced Excel courses and have gone away wanting to learn more about Excel and about the next level of training that is on offer.</p>
<p>All of these courses are still available for you to individually attend too, but we were wanting to hear of any thoughts that you might have on them being 2-day courses? Would you find it beneficial as a 2-day course? Would you prefer it as a 2-day or would you prefer them as individual courses and attend them at different times of the year?</p>
