Word Track Changes Feature – how it can help you in your documents

This week’s hint and tip is about the Word track changes feature. This is a section in our Advanced Word training course and covers how you can use this feature in your documents.

We are currently undertaking some bespoke training for a legal firm in Gloucestershire who require knowledge and use of this feature. This course focuses purely on Word options for them but track changes is probably the most important as it allows staff to amend documents and pass them to others for comments.

Track changes is a very useful and powerful tool that you can use within Word. However compared to other features it isn’t always a well known feature in the package. So, because of this, this week’s hint and tip is all about track changes. We’ve done a video blog on it to talk you through it which you can see below.

The track changes feature in Word allows you to highlight any alterations that are made in a document. This is good if you want to send a document to someone for them to look over. The feature allows alterations to be made that you can then go through and accept or reject.

The video below shows you how to use the track change feature within a Word document. It also shows how it can be beneficial for you especially if you are working on a document with a number of people.

Take a look below at the video to find out more and then try it out on your own computer!

Word Basics – defining new bullet points… I can change the bullet point?

Last time we looked at how to insert a bullet point into a Word document. In this week’s hint and tip we are taking it a step further. We’re looking at creating your own bullet point using the ‘Define New Bullet’ option. This option is found in the bullet points drop down menu. This is covered in our Basic Word training course.

Defining a new bullet

This option allows you to choose how your bullet will look. When you click on this option, a box appears with a number of options to choose from.

Symbol

The Symbol option allows you to pick a new bullet point from a whole list of symbols in Word. In this window you can choose the Font you want your symbol to be in (most of the common ones are available in the ‘Symbol’ font that is shown by default). Once you have the symbol you want, click OK and OK again. This will have now inserted the symbol you chose as a bullet point.

Picture

The Picture option allows you to insert a picture as the bullet point instead of a symbol; keep in mind that it will be small so if the image is detailed you won’t see it very clearly. Selecting this option brings up a window allowing you to choose where to obtain the image from. The most commonly used one is ‘From a file’ as this allows you to select an image that is saved on your computer. If you use this option, you just navigate your way to where the image is stored. Once there, select Insert and OK and it will then insert the picture as your bullet point.

Font

Finally, the Font option allows you to change the font features of your bullet point when you have done in your document e.g. the colour and size of it. This option is not used as much as the other two, it is often used for changing the colour of the bullet point that you have and so is not used as often at the other two options.

There you have it, you can now create new bullet points! We hope you have enjoyed learning about Word basics defining bullet points and that you can now create new bullet points in your Word documents.

If you liked this hint and tip, have you seen our previous one on how to insert bullet points?

Word Basics Bullet Points – how do you insert them again?

This week we are looking at bullet points in Word and how you can use them in your documents. This is covered in our Basic Word training course.

What are they?

Bullet points can be used for a number of reasons in a document, from creating a list of instructions to summarising information in an easier to read format.

You can insert bullet points before or after you have typed in your information for the bullet points, in this hint and tip we are going to show you how to do both.

The bullet point button is found on the Home Tab and there are 2 parts to this button. The main part just inserts a plain bullet point, or the last bullet point style you have chosen, and the second part is a drop down arrow that gives you more options for inserting a bullet point with different styles to choose from and then option to create your own bullet point (which we will look at next time).

Inserting bullet points before typing text

To insert a plain bullet point on a blank ‘line’ in your document, click on the main part of the bullet point button. This will insert a black plain bullet point and you can then start typing in the information that you want with bullet points. Once you have typed in a line of text you can get your next bullet point up by hitting the enter/return key on your keyboard. We will cover how to remove bullet points further down.

Inserting bullet points after typing text

You might already have your list of information typed in and want to insert bullet points to it, which can be done. Firstly, select the information that you want to have bullet points in, then once selected click on the bullet point button. It will now have inserted bullet points into your document. It will insert a bullet point at each time you went to a new row in your document.

Removing bullet points

There are a few ways to do this. Once you have finished your last bullet point line of text, hit enter so that you are now on a new line with a bullet point. From here you can then:

Click back on to the bullet point button and it will remove it

Hit enter again and it will remove the bullet point

Use the backspace key on your keyboard to get you back to ‘normal text’ in your document (you might have to hit it a few times until you are back to the side of the page in Word)

You can also remove more than one bullet point at once, just select all the text that has bullet points currently and then click on the bullet point button. This will have removed the bullet points and changed your text back to ‘normal’ text.

We hope you like this hint and tip on Word basics inserting bullet points and make sure to look out for the next one on defining a bullet point!

If you liked this hint and tip, why not take a look at our previous one on BODMAS?

Publisher is a package that can sometimes be forgotten about or overlooked, with Word being most people’s first point of call for creating documents. However, sometimes Publisher comes up on top in comparison to Word and can often be easier to use for certain documents!

Here we are going to take you through some of the Publisher page sizes, publication types and templates that you can utilise to save you time and make your life a lot easier!

Page Sizes

When you first open up Publisher, the screen looks like the screen shot below. This screen will list any recent files that you have opened down the left hand side and then give you a number of options on the rest of the screen.

The most common options that are used are the ‘blank A4 (portrait)’ or the ‘blank A4 (landscape)’ but there is also the option to choose from other blank page sizes.

Under this option you can select the blank page size that you require from the selection given.

Templates

In this area you can also scroll down to have a look at the Publication Type section. Under here there are a variety of ‘blank templates’ that you can utilise to make creating your document easier (see below).

These blank document templates and sizes are really useful for saving you time when creating your documents from scratch. However, in Publisher there are also a whole bank of templates that you can use if you need a bit of inspiration for your documents!

These templates can then be personalised and edited to meet your requirements and can save a lot of time if they look similar to what you were aiming to create yourself. To get to this part of Publisher, you firstly click on to the ‘Built-In’ heading on the opening screen. This will bring up a variety of template ‘groups’ that you can choose from. As you scroll through you will be able to see the vast variety you can choose from.

So even though Word is a very powerful Microsoft Office package, Publisher can sometimes stand head and shoulders above in the more creative side.

So next time you are thinking of creating a newsletter or business card, why not give Publisher a go?

Microsoft training Worcestershire – what’s in a Word?

This months blog is all about some unknown and unusual features found in Microsoft Word 365/2016.

Have fun exploring them!

Bookmarks (found on the Insert Tab, Links Gallery)

This allows you to select some text, particularly in a large document, and set a bookmark against it which is a bit like a hyperlink. It then allows you to simply go to that bookmark.

You can also in Options, Advanced show the Bookmarks (they appear with square brackets).

Inserting a Column Break

You may think, and we’d understand why, this is found on the Insert Tab like a Page Break but no it’s under the Layout Tab, Breaks, Column!

Read Aloud (found on the Review Tab, Speech Gallery)

Simply reads aloud the text you select.

Dictate (found on Home Tab, Voice Gallery)

Allows you to dictate words and then it’s simple to edit as seems fit. Use the Enter key for new paragraphs.

Quick Parts (found on Insert Tab, Text Gallery)

This is a bit like autotext but more for bulk text and logos. For example, you can create a Quick Part for an address to save you typing it in each time or the top of a letterhead with a company logo.

Navigation Pane (found on View, Show Gallery)

An excellent feature for showing the pages and headings in a document. It shows up on the left hand side of a document and allows quick access to pages.

Microsoft Office Courses West Midlands – Did you suffer in the “heatwave”?

Why not have a go at our relaxing heatwave quiz that we have put together below in Excel?

The heat! It was definitely a topic on most peoples minds and took over a lot of conversations for the last 2 months! There was a lot that the last heatwave gave us and a lot of areas that it had an impact in.

To an extent it was similar to Microsoft Office (I can imagine what you are thinking, bear with us with this analogy!) Microsoft Office has a number of software packages and each package has an impact on peoples lives in a number of ways; in their use at work and also in their personal use at home.

See it wasn’t too bad was it? Ok so that might have been stretching it a little bit, comparing the heatwave to Microsoft Office, but there are some similarities that can be seen between the two.

Try our fun quiz

As we thought that there were some similarities, we thought you may like to try out our fun quiz that we have put together! It will only take you a minute to do in your tea break! It was built using quite a few Excel topics which feature on all of our Excel courses.

Pop us an email and we’ll send the quiz spreadsheet over to you!

Let us know how you do in it (no cheating on Google!)

We hope you enjoy the little challenge we’ve set you.

If you would like to know more about Microsoft Office courses West Midlands or for any other challenges in Excel please contact us on johnlegge@jplcomputer.co.uk.

If you are intrigued as to how we built the worksheet feel free to drop us an email, we’d be happy to chat about it.

We hope you liked this little quiz, why not take a look at our previous hint and tip on the screen layout of Excel?

Excel Courses

Excel is definitely a really useful package, we could even say that it appears to be the most popular one to use out of the Microsoft Office packages (except maybe Outlook, as it is sometimes used as a mailing package for a business).

Excel courses continue to be the bedrock of our core business. We have developed a whole range of courses to enable staff to progress through the levels of Excel starting with Basic and going all the way up!

Here’s a summary of what’s in each Excel course:

Customer Comments

Here are some comments off staff who’ve been on our excel courses (there are lots more on our website that you can view here):

“Best part of the course: Use of F11 button. John was helpful and made everything easy to understand”.

“John as a trainer has been patient, thorough and extremely knowledgeable! Best part of the course: the speed was suitable for all levels of people in the group”.

“Very accommodating and well explained. Very patient and coherent. Best part of the course: formulas and linking workbooks”.

Hints and Tips

We also provide a blog of hints and tips which we update 1-2 times on average a month. There are a lot of Excel hints and tips on the website alongside hints and tips about the other Microsoft Office packages. Take a look here at the website to take a look.

We can also bespoke i.e. build a course specially for you from existing course material – just ask us! We can also deliver courses using your own data as well as ours. If you wish to ask about bespoke courses or any of or other courses, please email johnlegge@jplcomputer.co.uk.

We wish you every success this year and look forward to hearing from you soon!
