17 Word Tips for ’17 for you to look at!

As we step into February, we thought we would send you a list of 17 Word tips for the beginning of this year. Many of you will have been using Word for many years and there have been lots of new features appear over the years.

Hopefully this list of a variety of tips will be helpful to you! From the team at JPL.

17 Word Tips

Selecting text – the “triple click” on a word will highlight the whole paragraph.

Quick Parts – these can be used for short phrases or block text to save time. A common use for this is a signature.

Screenshots allow you to insert parts of an alternative window on a PC into your Word document

The F9 button updates a Table of Contents and Bibliography

To insert a column break, its hidden away in Page Layout, Breaks

Bullet points – most people use the standard dot, but did you know there is a tick bullet point? To create a bullet tick you click on the drop down arrow next to the bullet point button and you can pick it form the list

To insert a text Watermark into a document, choose Page Layout Tab or Design Tab depending on the version of Word

Try Email mail merge marketing from an Excel spreadsheet containing names and email addresses

In Word 2013 you can convert a PDF back in to Word

Creating Autotext in word. If you regularly misspell a word and use an unknown word to Microsoft’s dictionary why not try autotext to create it. Its under File, Options, Proofing.

You can compare (Review Compare) two documents which may contain textual differences and see where they are automatically. It’s an extension of Tracking Changes

I think probably the most powerful feature and well underutilised in word is Styles. Its the foundation for Table of contents, multi levels, indexing and hyperlinking and other features too. It’s found on the Home tab. Particularly good are Heading 1,2,3 etc.

Creating your own Tab and ribbon (this can be used in pretty much all the Microsoft packages). Simply use Customise the Ribbon feature by right clicking on any ribbon and then you can name a Tab and create your own groups for the favourite commands you often use. It’s a great way of keeping all the commands you use a lot in one place.

Format Painter. If you select some text that you want to copy the format of first, you can then click on the format painter button and it will then allow you to format other words the same.

Picture Watermarks. You can also create a picture watermark for your company (Page Layout, Watermark, Picture)

Using the Screen Clipping tool. Insert Screenshot, Screen Clipping will allow you to insert into a document any part of a screen not just the whole screen image. This replaces the Crop tool you used to have to use.

Citations which allows you to reference a book, periodical, journal, web site etc. to the author, year, page number. From these citations, you can automatically build a Bibliography at the end of your document. It’s all in the References Tab.

Excel Consultancy JPL looks at Conditional Formatting (CF)

This week’s excel consultancy hints and tips focuses on a topic in Excel which has great variety from a simple data bar across a cell to highlighting whole rows in colour based upon a formula. This topic is conditional formatting!

Conditional formatting based upon numerical rules

It is possible to use Conditional formatting to highlight cells which meet a certain condition. For example, if cells in a range are less than 250 make the cell colour green or else red.

See the workbook for an example – Conditional Formatting by Colour

Conditional formatting based upon using a formula

The example below is based upon a purchase accounts ledger. If the invoice is early, then its designated by a letter E in column H. By selecting the whole worksheet and applying CF by formula you can highlight each row where this is the case. To understand the formula, delve into Managing the rules in CF.

See the workbook for an example – Conditional Formatting by Formula

CF is a really useful tool and is often one that so many do not know about, but once they do cannot imagine not knowing about it anymore! It is often a tool that can make a job a lot easier and save you a lot of time in work! It is a very visual way of displaying information which can make displaying your data even easier for you.

We begin covering the topic of CF in our Basic Excel training course where we look at the topic based upon numerical rules. The CF rules using formulas is looked at in our Master Class Excel Bronze training course as it is a much more advanced feature and so it is best for those who already have a knowledge of CF as well as a very good strong knowledge of formulas.

Take a look at our website

“I just wanted to say many thanks for really interesting, practical and fun training today. I thoroughly enjoyed myself and actually could have kept learning, it was really engaging. I shall be practising again this weekend – can’t wait till Monday! Surely a sign of igniting a trainees desire to learn and become competent”.

Computer Consultant Worcestershire JPL News –

We have been busy in September and October delivering a mixture of standard and bespoke training courses to a number of different companies.

These have included Excel Master Class Bronze, Basic PowerPoint, Intermediate Word & Outlook, MS Project Level 2 and many others. One feature becoming more popular is the ability to mix and match not just elements within a subject but also across subjects as in the case above for Word & Outlook course that we ran. We can use a client’s own data when compiling a bespoke course and we have done this for a number of customers in the past.

Although we no longer take on board commissions for large Access Database developments, we are still happy to modify an existing database that you have or offer advice where we can on any improvements that can be made. Take a look at our testimonials which again is a new addition to our website for stories of local training. You can view all of these testimonials here.

Bespoke Training –

JPL IT Training Limited have been providing Microsoft Office training for over 20 years and in that time have carried out a wide range of courses. Courses are an important way to learn new skills but to also build on the knowledge that you already know. We have a variety of set courses with agendas that we have put together, but more recently it has become more popular for companies to come to us wanting bespoke training for their staff.

Bespoke training courses allows the course notes to be tailored around the existing knowledge of the staff that would be attending. The bespoke courses that we have personally carried out for companies vary a great deal as they allow for that personalisation to their need. We can adapt the training to include a client’s own data files as well as tailor our existing content across courses to suit them.

Some examples of bespoke training courses that we have carried out are:

Overall, any of our standard courses can be tailored to suit any of the requirements that you might have. No matter what constraints you might have, we will endeavour to tailor the course to what you require.

An example of a recent course that we ran was a bespoke Excel Pivot Table and Chart half day course for a company in Warwickshire. Click here to view the agenda for the course.

We specialise in Microsoft Excel training, PowerPoint, Access, Word, Project, Visio, Outlook and Publisher training in Worcestershire, Herefordshire, Gloucestershire, Leicestershire and Warwickshire.

Word training Leicestershire – do you know the difference between what package to use for what?

For years Word was the number one software package that everybody used, a standard for anyone in business to compose a letter, fax or documented procedure. It was used as the template for invoices, despatch notes and quotations. With the growing interest in Outlook for emailing and Excel not just for calculations but for forms also, Word has lost some of its importance in the business marketplace.

Some where does Word still fit in inside the working environment and where can Outlook take precedence? Here is a simple table showing where perhaps each is best suited, along with techniques in each.
