We are looking at the Microsoft Office packages and giving hints and tips on specific actions you can do in them. This week we are starting off with the PowerPoint package!</p>
<p>This first hint and tip is looking PowerPoint basics slides. This is covered on our <a href="https://www.jplcomputer.co.uk/basic-powerpoint-training-course/">Basic PowerPoint training course</a>. Firstly we will look at the different ways in which you insert a new slide into a presentation. Then we will look at the different slide layouts that are available.</p>
<p>&nbsp;</p>
<h4>Insert a New Slide</h4>
<p>There are a few ways you can go about doing this and we will go through the different ones here.</p>
<p>&nbsp;</p>
<h5>First Way – Using the New Slide button on the Home Tab</h5>

<p>This is one way of inserting a new slide and is often the most used way as the button is found on the Home Tab within PowerPoint.</p>
<p>The ‘New Slide’ button has 2 parts to it.</p>
<ol>
<li>Part 1/top part: this will insert in a new slide with a default slide layout of ‘Title and Content’ which is often the most common slide layout used in creating a presentation.</li>
<li>Part 2/bottom part: this will bring up a menu where you can select the slide layout that you would like to insert and will insert a new slide with the layout you select.</li>
</ol>
<p>Both of these ways can be used, the one that you choose to use depends on the slide layout that you wish you insert.</p>

<h5>Second Way – Using the part 1/top part of the button alongside the Layout button</h5>

<p>This way uses a step that we looked at previously, the top part of the ‘New Slide’ button, which inserts a slide with the ‘Title and Content’ layout.</p>
<p>You can use the ‘Layout’ button on the Home Tab to alter the layout of a slide that you have inserted in to your presentation. This allows you to alter the layout of an existing slide that you have in your presentation.</p>
<p>So if you inserted a slide but then decided that you would like a different layout, you can use the layout button to change the layout of the slide that you have selected.</p>

<h5>Third Way – Using the shortcut Ctrl+M<img decoding="async" width="166" height="70" class=" wp-image-3214 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2019/01/25-1-19-powerpoint-basics-slides-shortcut-screen-shot.jpg" alt="PowerPoint basics slides - new slide shortcut option" /></h5>
<p>Another way you can insert a new slide is through the use of a shortcut key! This shortcut key, Ctrl+M, is a shortcut for clicking on the top part of the ‘New Slide’ button.</p>
<p>This can then be used alongside the layout button if you wish to change the layout of the slide.</p>
<p>Another way is that you can use the ‘New Slide’ button which is found on the Insert Tab. This button is the same as mentioned above, just it can also be found on the Insert Tab as well as the Home Tab.</p>
<p>Once you have inserted your slide, you can then starting adding in content and you are then on your way to creating your presentation!</p>

<h2>Microsoft Office Specialist – looking at 3D Maps in Excel, have you used them?</h2>

<p>We thought you may like to see a short video of the towns we’ve trained clients in during the last 12 months. It&#8217;s only 10 seconds and was created using a new feature in Excel called 3D maps. You may spot your town but if not let us know!</p>

<p>Although we train in a variety of modules in Microsoft office like <a href="https://www.jplcomputer.co.uk/17-word-tips" rel="noopener noreferrer">Word</a>, <a href="https://www.jplcomputer.co.uk/2018/06/07/bespoke-powerpoint-2016-2/" rel="noopener noreferrer">PowerPoint</a> and <a href="https://www.jplcomputer.co.uk/computer-services-worcester" rel="noopener noreferrer">Access</a> we’ve found the major demand for our training courses is in <a href="https://www.jplcomputer.co.uk/2018/06/06/microsoft-office-courses-pivot-tables/" rel="noopener noreferrer">Excel</a>. Of which we have now developed 5 levels of courses.</p>
<p>We often publish hints and tips at least once a month and here’s our tip of the day – a really simple one to do with worksheets but then as the saying goes “the simpler the better”.</p>

<p><strong>Tip of the Day in Excel</strong></p>
<p>Four things you may not know about Excel worksheets:</p>
<ol>
<li>To colour a worksheet simply right click and choose a Tab colour</li>
<li>To move a worksheet to a different position simply drag and drop the sheet to the left or right</li>
<li>To rename a worksheet its quicker to double click on it and then type over the worksheet name</li>
<li>When using a worksheet in a formula where a sheet has an embedded space in it use an apostrophe e.g. =sum(‘jan 18:mar 18’!b2)</li>
</ol>

<h2>Happy New Year! &#8211;</h2>
<p>From everyone here at JPL IT Training Limited, we hope that you had a prosperous 2016 and were able to rest a bit over the Christmas break. We wish you all a happy and prosperous year for 2017.</p>
<p>This year we have a few ideas of courses that we are thinking of running and would love to hear your thoughts on them!</p>
<p>Firstly, we are thinking of running a 2-day PowerPoint course. This course would cover Basic principles on the first day, finishing with some Intermediate exercises and topics. Then the second day would carry off where the first left with more Intermediate topics and finishing with more Advanced topics and ways to really wow people in your presentations at work!</p>
<p>Secondly, we have a 2nd Master Class Excel course in the pipeline and so alongside our current Master Class course, we are thinking of running a 2-day Master Class Excel course which will appeal to those of you that have attended our Advanced Excel courses and have gone away wanting to learn more about Excel and about the next level of training that is on offer.</p>
<p>All of these courses are still available for you to individually attend too, but we were wanting to hear of any thoughts that you might have on them being 2-day courses? Would you find it beneficial as a 2-day course? Would you prefer it as a 2-day or would you prefer them as individual courses and attend them at different times of the year?</p>

<p>Excel is a package that is often seen as a basic requirement for a lot of people nowadays when they are applying for a job. Excel is ever increasingly becoming a package that businesses use for storing and analysing data for a number of departments within the company. With the use of Excel becoming more important and integrated within a companies daily work it is becoming ever more important for your knowledge of Excel to be kept up to scratch!</p>
<p>A lot of people would probably class themselves as &#8216;self taught&#8217;, that they have picked up their skills and knowledge in Excel through &#8216;trial and error&#8217; or by someone mentioning how to do something in passing. This often will get you by unless you need to do something a bit harder or if something goes wrong and you need to fix it!</p>

<h2>Worksheet Hint and Tip &#8211; Renaming Worksheets</h2>
<p>To finish on we thought we would include a little worksheet hint and tip, you can view more hints and tips on our main <a href="https://www.jplcomputer.co.uk/category/hints-and-tips/">Hints and Tips page</a>.</p>
<p>In Excel you can rename the worksheet you are working in. By default the name will be Sheet1, Sheet2, etc. These aren&#8217;t very informative and so you can rename them to make more sense!</p>
<p>To rename the worksheet, you can either:</p>
<ol>
<li>Double click on the current worksheet name and type over the name and hit Enter once you have given it the new name to save it</li>
<li>Right hand click on the worksheet name and select the &#8216;Rename&#8217; option for the list. Again type over the name and hit Enter once you have given the new name to save it</li>

										<content:encoded><![CDATA[<h2>Microsoft Office 2013 &#8211; similar to 2010 but with some added new features</h2>
<p><img decoding="async" width="94" height="87" class="size-full wp-image-7942 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2020/09/Excel-icon.jpeg" alt="microsoft office 2013: Excel icon" />When you first see Microsoft Office 2013 or indeed Office 365 (the on line version) you may think there is not much difference to Office 2010. Certainly the existing features are kept, the tabs and ribbons remain the same but new features are added particularly in Excel.</p>
<p>One new really good feature in Excel 2013 is called Quick Analysis. This button appears in the bottom right hand corner when you select a set of data and it allows you to easily do any of the following actions:</p>
<ul>
<li>Conditionally format the data that you have just selected</li>
<li>Create a chart and easily add Chart elements, Styles and Filter your dataset</li>
<li>Add Sparklines to your data in the spreadsheet</li>
<li>Create Totals for the specific data that you have selected</li>
</ul>
<p>Even though there are a lot of good new features in Excel, there are lots of new features within the other Microsoft Office packages.</p>
<p>One example is the Presenter view in PowerPoint. This view allows the presenter to see on part of their screen the slide that is up on the projector screen that the audience can see and then on the other part this presenter view which shows the next slide that will come up and any notes that have been assigned to the current slide.</p>
<p>Another example is the reading pane option within Word. This view is useful if your find reading word documents tiring as it makes the view more like that of a reading book. As well as this reading pane more, there is also an option to convert a PDF document in to a Word document to make editing it easier.</p>
