<p><img decoding="async" width="115" height="105" class="size-full wp-image-8408 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2021/05/Word-icon-e1628864504273.jpg" alt="17 Word Tips: Word icon" />As we step into February, we thought we would send you a list of 17 Word tips for the beginning of this year. Many of you will have been using Word for many years and there have been lots of new features appear over the years.</p>
<p>Hopefully this list of a variety of tips will be helpful to you! <em>From the team at JPL.</em></p>
<p>&nbsp;</p>
<h4>17 Word Tips</h4>
<ol>
<li>Selecting text – the “triple click” on a word will highlight the whole paragraph.</li>
<li>Quick Parts &#8211; these can be used for short phrases or block text to save time. A common use for this is a signature.</li>
<li>Screenshots allow you to insert parts of an alternative window on a PC into your Word document</li>
<li>The F9 button updates a Table of Contents and Bibliography</li>
<li>To insert a column break, its hidden away in Page Layout, Breaks</li>
<li>Bullet points &#8211; most people use the standard dot, but did you know there is a tick bullet point? To create a bullet tick you click on the drop down arrow next to the bullet point button and you can pick it form the list</li>
<li>To insert a text Watermark into a document, choose Page Layout Tab or Design Tab depending on the version of Word</li>
<li>Try Email mail merge marketing from an Excel spreadsheet containing names and email addresses</li>
<li>In Word 2013 you can convert a PDF back in to Word</li>
<li>Creating Autotext in word. If you regularly misspell a word and use an unknown word to Microsoft’s dictionary why not try autotext to create it. Its under File, Options, Proofing.</li>
<li>You can compare (Review Compare) two documents which may contain textual differences and see where they are automatically. It’s an extension of Tracking Changes</li>
<li>I think probably the most powerful feature and well underutilised in word is Styles. Its the foundation for Table of contents, multi levels, indexing and hyperlinking and other features too. It’s found on the Home tab. Particularly good are Heading 1,2,3 etc.</li>
<li>Creating your own Tab and ribbon (this can be used in pretty much all the Microsoft packages). Simply use Customise the Ribbon feature by right clicking on any ribbon and then you can name a Tab and create your own groups for the favourite commands you often use. It’s a great way of keeping all the commands you use a lot in one place.</li>
<li>Format Painter. If you select some text that you want to copy the format of first, you can then click on the format painter button and it will then allow you to format other words the same.</li>
<li>Picture Watermarks. You can also create a picture watermark for your company (Page Layout, Watermark, Picture)</li>
<li>Using the Screen Clipping tool. Insert Screenshot, Screen Clipping will allow you to insert into a document any part of a screen not just the whole screen image. This replaces the Crop tool you used to have to use.</li>
<li>Citations which allows you to reference a book, periodical, journal, web site etc. to the author, year, page number. From these citations, you can automatically build a Bibliography at the end of your document. It’s all in the References Tab.</li>

<p>Excel is definitely a really useful package, we could even say that it appears to be the most popular one to use out of the Microsoft Office packages (except maybe <a href="https://www.jplcomputer.co.uk/outlook" target="_blank" rel="noopener">Outlook</a>, as it is sometimes used as a mailing package for a business).</p>
<p><strong>Excel courses</strong> continue to be the bedrock of our core business. We have developed a whole range of courses to enable staff to progress through the levels of Excel starting with Basic and going all the way up!</p>
<p>Here’s a summary of what’s in each Excel course:</p>

This topic is conditional formatting!</p>

<h4>Conditional formatting based upon numerical rules</h4>
<p>It is possible to use Conditional formatting to highlight cells which meet a certain condition. For example, if cells in a range are less than 250 make the cell colour green or else red.</p>

<h4>Conditional formatting based upon using a formula</h4>
<p>The example below is based upon a purchase accounts ledger. If the invoice is early, then its designated by a letter E in column H. By selecting the whole worksheet and applying CF by formula you can highlight each row where this is the case. To understand the formula, delve into Managing the rules in CF.</p>

<p>CF is a really useful tool and is often one that so many do not know about, but once they do cannot imagine not knowing about it anymore! It is often a tool that can make a job a lot easier and save you a lot of time in work! It is a very visual way of displaying information which can make displaying your data even easier for you.</p>

<p>Intermediate Excel is often a really popular course that we run her eat JPL! At one time it used to be that everyone couldn&#8217;t get enough of Basic Excel, but we are finding more and more now that Intermediate Excel tends to be the course that people want to come on. This could be down to the fact that nowadays everyone has a bit more of a basic knowledge of Excel and they pick up a bit more in their job roles and so would not find the basic course as useful as it had been for others!</p>

<p><img decoding="async" width="94" height="87" class="size-full wp-image-7942 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2020/09/Excel-icon.jpeg" alt="SUM SUMIF SUMIFS SUM Indirect: Excel icon" />This week’s blog is all about that most favourite of functions in Excel. The SUM statement which you will all be aware of is the cornerstone of any Excel workbook system. In this post, we are looking at SUM, SUMIF, SUMIFS, SUM Indirect and how they could be applied in your workbook. Please read these notes in conjunction with the attached workbook (<em><a href="https://www.jplcomputer.co.uk/wp-content/uploads/2016/11/SUM.xlsx">SUM, SUMIF, SUMIFS, SUM Indirect workbook</a></em>) to see example of each in practice<em>.</em></p>
<p>&nbsp;</p>
<h4>SUM</h4>
<p>It can take one of two forms:</p>
<p>=sum(range) e.g. =sum(b2:b7) or another example would be =SUM(b2:e2) &#8211; this would add up the contents of 4 cells</p>
<p>=sum(individual cells) e.g. =sum(b2,b7,b9) or another example would be =SUM(b2:b10,b14,b20:b25) &#8211; here we are mixing the : and , symbols within the brackets.</p>
<p>The symbols used in the SUM formula are as follows:</p>
<ul>
<li>: is range</li>
<li>, is discrete or individual cells</li>
</ul>
<p>&nbsp;</p>
<h4>SUMIF and SUMIF with INDIRECT</h4>
<p>Two enhanced SUM functions are SUMIF and SUM with INDIRECT</p>
<p>An example would be =SUMIF(b2:b9,”&gt;30″) This function only add up these cells IF a cell value is greater than 30</p>
<p>Another example is =SUM(INDIRECT(“b1”):B4) This neat nested function allows for the fixing of b1 so that if you insert a row above the current row 1, that row will still be used in SUM!!</p>
<p>A further use of SUMIF can be seen in the attached workbook using 3 arguments not 2.</p>
<p>SUMIFS is a development of the SUMIF whereby you have multiple criteria needing to be met before a SUM of numbers is added. Again look at the attached example for the work through.</p>

<p>We have been busy in September and October delivering a mixture of standard and bespoke training courses to a number of different companies.</p>
<p>These have included Excel Master Class Bronze, Basic PowerPoint, Intermediate Word &amp; Outlook, MS Project Level 2 and many others. One feature becoming more popular is the ability to mix and match not just elements within a subject but also across subjects as in the case above for Word &amp; Outlook course that we ran. We can use a client&#8217;s own data when compiling a bespoke course and we have done this for a number of customers in the past.</p>
<p>Although we no longer take on board commissions for large Access Database developments, we are still happy to modify an existing database that you have or offer advice where we can on any improvements that can be made.
