PowerPoint basics slides – how to insert a new slide in to your presentation

We are starting off some new hints and tips. We are looking at the Microsoft Office packages and giving hints and tips on specific actions you can do in them. This week we are starting off with the PowerPoint package!

This first hint and tip is looking PowerPoint basics slides. This is covered on our Basic PowerPoint training course. Firstly we will look at the different ways in which you insert a new slide into a presentation. Then we will look at the different slide layouts that are available.

Insert a New Slide

There are a few ways you can go about doing this and we will go through the different ones here.

First Way – Using the New Slide button on the Home Tab

This is one way of inserting a new slide and is often the most used way as the button is found on the Home Tab within PowerPoint.

The ‘New Slide’ button has 2 parts to it.

Part 1/top part: this will insert in a new slide with a default slide layout of ‘Title and Content’ which is often the most common slide layout used in creating a presentation.

Part 2/bottom part: this will bring up a menu where you can select the slide layout that you would like to insert and will insert a new slide with the layout you select.

Both of these ways can be used, the one that you choose to use depends on the slide layout that you wish you insert.

Second Way – Using the part 1/top part of the button alongside the Layout button

This way uses a step that we looked at previously, the top part of the ‘New Slide’ button, which inserts a slide with the ‘Title and Content’ layout.

You can use the ‘Layout’ button on the Home Tab to alter the layout of a slide that you have inserted in to your presentation. This allows you to alter the layout of an existing slide that you have in your presentation.

So if you inserted a slide but then decided that you would like a different layout, you can use the layout button to change the layout of the slide that you have selected.

Third Way – Using the shortcut Ctrl+M

Another way you can insert a new slide is through the use of a shortcut key! This shortcut key, Ctrl+M, is a shortcut for clicking on the top part of the ‘New Slide’ button.

This can then be used alongside the layout button if you wish to change the layout of the slide.

Another way is that you can use the ‘New Slide’ button which is found on the Insert Tab. This button is the same as mentioned above, just it can also be found on the Insert Tab as well as the Home Tab.

Once you have inserted your slide, you can then starting adding in content and you are then on your way to creating your presentation!

This week was looking at PowerPoint basics slides, look out for the next PowerPoint basics hint and tip coming soon! Why not take a look at our previous one on page sizes in Publisher?

Hint and Tip for the month!

We have a lot of hints and tips that we cover in all of our courses so it’s always hard to pick just one to put up on the website in our posts.

The hint and tip we have decided to bring you this time is about about you can export a Word file to PDF format! (This can also be done in Publisher!)

Not everybody has Microsoft Office packages, but everyone can open a PDF file. To do this, open the file you want to ‘Export’ then click File, ‘Export’ option, ‘Create PDF/XPS Document’ and then click on the ‘Create PDF/XPS’ button. This will then let you pick the folder you want to save your PDF file to and click ‘Publish’.

This will now have created a PDF format of your document!

JPL – providing businesses with Microsoft Office Access and knowledge since 1996

JPL IT Training Limited – known as JPL – pride themselves on delivering not only software but the knowledge to use that software to its fullest extent. Microsoft Office Access is one such example.

JPL have been working with the Red Hill Christian Centre since 2009. Microsoft Access is perfect for their small but growing conference centre. In the beginning JPL simply delivered training to ensure the money invested in was being utilised to its fullest. Too often we see software sold with no follow-up support for the client in their learning process.

Once JPL had begun working extensively with Red Hill, they realised that they could develop and enhance the bookings database run through Microsoft Access, thereby optimising both the system and the people running it.

JPL believe in supporting people through their projects. From initial discussion through implementation to post-project issues and resolutions, JPL believe in training people to use software correctly and efficiently to get the very best out of the packages they have invested in. This is clear in JPL’s relationship with Red Hill.

“John worked closely with the office team at Red Hill Christian Centre… as our needs have grown and changed he has trained us to adapt this at each stage.” Michelle Jinks, Bookings Secretary.

Databases such as Microsoft Access need the ability to change over time, as both your clients and business develop. With JPL you can rest assured that our support doesn’t stop with your purchase. We are available for onsite training on a one-off or continuous arrangement, based on the needs of your business. With our flexible and open approach, we are renowned for our helpful, honest advice for the best path for your business.

To discuss Microsoft Access or any other software, or to enquire about any other Microsoft Office training, please contact us. We are always happy to have an informal, no obligation discussion about your requirements, and will do our utmost to resolve any issues that you are experiencing.

Computer Services Evesham

I thought the following ideas may inspire you to link parts of MS Office software together or at least begin your exploration!

Word Tips

Mail Merge: this is a feature in Word but is really useful when linked to an Excel worksheet containing says names and addresses. It can be used for mailing labels and form letters and email marketing like we deliver for you each month. Set up Excel with good column headings and then use the Mail Merge Wizard to go through the process.

Word Screenshots from the Web: Don’t forget the wonderful ‘screen clipping’ facility to cut parts of a web page (or any screen really) into your word document.

Outlook Tip

Outlook contacts: A good idea is to regularly backup your Outlook.pst file for safe keeping. This can be done by finding out where the files is stored (its via Account Settings, Folder info). You can also export the contacts folder to Excel.

PowerPoint Tip

PowerPoint and Charts: although you can copy paste an Excel chart into a PowerPoint slide its much better to use the Chart engine in PowerPoint to generate a simple chart.

Access and Excel Tip

Access and Excel: You can import an Excel worksheet into Access to create an Access Table. This is really good if perhaps you’ve started off by developing your systems in Excel and want to migrate them to a DB without re-keying. Access Table import is really good and easy to use.

All these features and more can be found on one of our day courses that we run. If you would like more details of content for any of these courses, then please visit our website page here.

If you have any comments or questions on computer services Evesham or any other towns in the Midlands area, please feel free to email us on johnlegge@jplcomputer.co.uk and we would be happy to help you.

If you liked this post, why not take a look at our previous one on the many ways to select in Word?
