<h2>On-line Microsoft Office Training from the team at JPL IT Training Limited</h2>

<p>Since the middle of March 2020 and the start of the Coronavirus we have been able to deliver via Webex a series of short on-line Microsoft Office training courses in Excel, Word and PowerPoint. The length of these sessions tend to be between 2 and 3 hours long. These have gone down particularly well as they are short in duration. This shorter length means that they can be fit in during the day a bit easier. Also it means that you don&#8217;t have to set aside a whole day to attend it! We have also conducted virtual consultancy for a number of our customers to help with a specific need or issue.</p>
<p>Due to the face that are shorter sessions have gone well we have created some new courses. We are launching 3 brand new short courses and can deliver these on line for individuals and groups. <h3>Using Word to create smart letters and using a Table of Contents for easier navigation!</h3>
<p>Word is sometimes a <a href="https://www.jplcomputer.co.uk/microsoft-office-training.html">Microsoft Office</a> package that gets overlooked. After all, it’s just like writing on paper isn’t it? As Word is a package that you do not always need a lot of understanding to start using, for example in comparison to formulas/calculations in Excel, it isn’t always the first choice of courses that people want to go on.</p>
<p>However, there are lots of features within Word that can help you with letters. As well as business documents and creating handbooks to name a few! Below are some hints and tips on Word and some of the features that you can use in the package.</p>
<p>&nbsp;</p>
<h3>Hints &amp; Tips</h3>
<p><strong>Screenshot clippings</strong> allow you to crop a frame from another Window on your PC and embed it into your document.<img decoding="async" width="120" height="20" class="alignright wp-image-2799" src="https://www.jplcomputer.co.uk/wp-content/uploads/2013/05/Screen-Clipping-image.jpg" alt="Screen Clipping image" /> This is the same as taking a screenshot of a window and then cropping it. Except it is like a shortcut way of doing it!</p>
<p>&nbsp;</p>
<p><img decoding="async" width="93" height="32" class="wp-image-2800 size-full alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2013/05/SmartArt-image.jpg" alt="SmartArt image" /><strong>Smart Art</strong> allows you to insert diagrams into your document to display information in a more visual way. Some examples being block and hierarchy diagrams.</p>
<p>&nbsp;</p>
<p><strong>Inserting Watermarks</strong> in your document is a good way to protect the content within them. You can either insert a picture <img decoding="async" width="67" height="71" class=" wp-image-2802 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2013/05/Watermark-image.jpg" alt="Word training Worcestershire - Watermark image" />or text watermark depending on what you require!</p>
<p>&nbsp;</p>
<p><img decoding="async" width="161" height="86" class="wp-image-2801 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2013/05/Table-of-Contents-image.jpg" alt="Table of Contents image" /><strong>Table of Contents</strong> is a useful feature within Word that quite a few people might have seen in use. However, not everyone knows how to create it!<br />
To create a table of contents efficiently and quickly there are a few pre-requisites that you need to know about before you begin. You firstly need to have your Styles correctly in your document, e.g. Heading 1, Heading 2, etc. Most text in your document will have a normal style applied to it by default. It is also important to have page numbers in your footer. Once you apply the heading styles to your headings in your documents you can then insert a table of contents. You do so by selecting the style you want, and how many levels you require through the References Tab. You can automatically update it by pressing the F9 key on your keyboard. Many of you will have been using Word for many years and there have been lots of new features appear over the years.</p>
<p>Hopefully this list of a variety of tips will be helpful to you! <em>From the team at JPL.</em></p>
<p>&nbsp;</p>
<h4>17 Word Tips</h4>
<ol>
<li>Selecting text – the “triple click” on a word will highlight the whole paragraph.</li>
<li>Quick Parts &#8211; these can be used for short phrases or block text to save time. A common use for this is a signature.</li>
<li>Screenshots allow you to insert parts of an alternative window on a PC into your Word document</li>
<li>The F9 button updates a Table of Contents and Bibliography</li>
<li>To insert a column break, its hidden away in Page Layout, Breaks</li>
<li>Bullet points &#8211; most people use the standard dot, but did you know there is a tick bullet point? To create a bullet tick you click on the drop down arrow next to the bullet point button and you can pick it form the list</li>
<li>To insert a text Watermark into a document, choose Page Layout Tab or Design Tab depending on the version of Word</li>
<li>Try Email mail merge marketing from an Excel spreadsheet containing names and email addresses</li>
<li>In Word 2013 you can convert a PDF back in to Word</li>
<li>Creating Autotext in word. If you regularly misspell a word and use an unknown word to Microsoft’s dictionary why not try autotext to create it. Its under File, Options, Proofing.</li>
<li>You can compare (Review Compare) two documents which may contain textual differences and see where they are automatically. It’s an extension of Tracking Changes</li>
<li>I think probably the most powerful feature and well underutilised in word is Styles. Its the foundation for Table of contents, multi levels, indexing and hyperlinking and other features too. It’s found on the Home tab. Particularly good are Heading 1,2,3 etc.</li>
<li>Creating your own Tab and ribbon (this can be used in pretty much all the Microsoft packages). Simply use Customise the Ribbon feature by right clicking on any ribbon and then you can name a Tab and create your own groups for the favourite commands you often use. It’s a great way of keeping all the commands you use a lot in one place.</li>
<li>Format Painter. If you select some text that you want to copy the format of first, you can then click on the format painter button and it will then allow you to format other words the same.</li>
<li>Picture Watermarks. You can also create a picture watermark for your company (Page Layout, Watermark, Picture)</li>
<li>Using the Screen Clipping tool. Insert Screenshot, Screen Clipping will allow you to insert into a document any part of a screen not just the whole screen image. This replaces the Crop tool you used to have to use.</li>
<li>Citations which allows you to reference a book, periodical, journal, web site etc. to the author, year, page number. From these citations, you can automatically build a Bibliography at the end of your document. It’s all in the References Tab.</li>

<p>JPL IT Training Limited have been providing Microsoft Office training for over 20 years and in that time have carried out a wide range of courses. Courses are an important way to learn new skills but to also build on the knowledge that you already know. We have a variety of set courses with agendas that we have put together, but more recently it has become more popular for companies to come to us wanting bespoke training for their staff.</p>
<p><strong>Bespoke training</strong> courses allows the course notes to be tailored around the existing knowledge of the staff that would be attending. The bespoke courses that we have personally carried out for companies vary a great deal as they allow for that personalisation to their need. We can adapt the training to include a client’s own data files as well as tailor our existing content across courses to suit them.</p>
<p>Some examples of <em>bespoke training</em> courses that we have carried out are:</p>

										<content:encoded><![CDATA[<h2>JPL Computers &#8211; looking at some features in Word and Excel that you might not have known about</h2>
<p>You&#8217;ve probably been using these two main line products for a long time but maybe didn&#8217;t know about the following features.</p>
<p>Try them out, they are really quite simple.</p>

<h4><img decoding="async" width="94" height="87" class="wp-image-7942 size-full alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2020/09/Excel-icon.jpeg" alt="JPL computers: Excel icon" />Excel Features</h4>
<ol>
<li>Creating your own Tab and ribbon (in Word and Excel). Simply use the &#8216;Customise the Ribbon&#8217; feature by right clicking on any ribbon and then you can create a new Tab and give it a name. You can then create your own groups for the favourite commands you often use. Its a great way of keeping all the commands you use a lot in one place.</li>
<li>Advanced Filtering and Data Sub Totals are features shown on our Intermediate course and from experience they are rarely used but should be. Both can save a lot of frustration and in some cases hours of extra work.</li>
<li>In Excel a really useful fun button to use is the QA (Quick Analysis) button shown at the bottom of a range of data when it is selected. Its used to conditionally format data cells and create charts, as well as other options.</li>
<li>Again In Excel, Evaluate Formula is really good at gently breaking down a formula&#8217;s arithmetic in to the sequence Excel performs the calculations. You can then see how a cell has been used in a formula or how other cells have been used to create it.</li>

<ul>
<li>Creating your own Tab and ribbon (in Word and Excel). Simply use the &#8216;Customise the Ribbon&#8217; feature by right clicking on any ribbon and then you can create a new Tab and give it a name. You can then create your own groups for the favourite commands you often use. Its a great way of keeping all the commands you use a lot in one place.</li>
<li>I think probably the most powerful feature and well underutilised in Word is Styles. It&#8217;s the foundation for Table of Contents, multi levels, indexing and hyperlinking and other features too. Its found on the Home tab. Some styles that are particularly good are Heading 1,2,3 etc.</li>
<li>Creating Autotext in word. If you regularly misspell a word and use an unknown word to Microsoft&#8217;s dictionary why not try Autotext to create it. Its under Options, Proofing.</li>
<li>Again in Word you can compare (Review Tab, Compare) two documents which may contain textual differences and see where they are automatically. Its an extension of Tracking Changes</li>

<p><img decoding="async" width="115" height="105" class="size-full wp-image-8408 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2021/05/Word-icon-e1628864504273.jpg" alt="word training: Word icon" />Sometimes its just good to show the simple things in life, well at least in Word!!</p>
<p>Most people select text in a Word document by dragging the mouse over the words they wish to highlight. This is definitely one way of doing this, but did you know that there are other methods to do this simple task?</p>
<p>Next time you want to select something in Word, why not give one of these other techniques a go instead?</p>
<p>&nbsp;</p>
<h4>Ways of selecting</h4>
<p><span style="text-decoration: underline;">To select a line:</span> position your &#8216;I&#8217; pointer in the left hand margin of the document then click and drag for as many lines as you wish. You should see it selecting the text as you drag your cursor</p>
<p><span style="text-decoration: underline;">To select a word:</span> double left click in a word</p>
<p><span style="text-decoration: underline;">To select a paragraph:</span> triple left click in a word</p>
<p><span style="text-decoration: underline;">To select a sentence:</span> Hold down the Ctrl key on your keyboard and click in a word in that sentence</p>
<p><span style="text-decoration: underline;">To select the whole document:</span> Ctrl+A on your keyboard is a useful shortcut for selecting everything in your document</p>
<p>&nbsp;</p>
<h4>Format Painter button</h4>
<p>This allows you to copy the format that is currently applied to some text in your document to another bit of text in the same document. To use this feature, you first select the text with the formatting you want to copy.</p>
<p>On your ribbon there should be a format painter button that you can click to activate (single clicking on button will allow you to &#8216;paste&#8217; the formatting once, double clicking on the button will allow you to &#8216;paste&#8217; the formatting multiple times until you turn it off. To turn it off, click the format painter button again or the Esc key on your keyboard).</p>
<p>Once you have activated it, you can then paste the formatting by clicking in a word, to just format a single word, or by selecting a line or paragraph to format more!</p>

										<content:encoded><![CDATA[<h2>Microsoft Courses &#8211; Five things you may not have used in Microsoft Word before!</h2>
<p><img decoding="async" width="115" height="105" class="size-full wp-image-8408 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2021/05/Word-icon-e1628864504273.jpg" alt="microsoft courses: Word icon" />Word is a useful Microsoft Office package and there are lots of areas to learn something new within it. Here are five things you might not have known about previously:</p>
<ol>
<li><strong>A tick bullet point</strong>. A tick bullet point is now an option under the bullet points button. However, it didn’t always used to be! If the option to have a tick as a bullet point isn’t available to you follow these steps to do it. To create a bullet tick change font to Windings 2 and then do a Shift P – hey presto a tick!</li>
<li><strong>Autotext</strong>. To save you time use Autotext. File, options, Proofing, Auto correct options and choose to replace a phrase with a short acronym. E.g. you can create fyi as autotext to show ‘for your information’</li>
<li><strong>Quick parts</strong>. A Quick part is used for block text or graphics like your address with a logo. To use this option, type out the information you want as a quick part, highlight it and then go to Insert Tab and Quick Parts option and select the option to save to quick part gallery. It will then be there for you to insert at a later date.</li>
<li><strong>Styles</strong>. There are many Styles that you can use within Word. Look at the Style area on the Home Tab. Try typing your name in to a document, highlight it and then change to Heading 1 by selecting it. You can see what the style will look like on the text that you have selected by hovering your mouse over the style before</li>
<li><strong>Compare documents</strong>. A really useful feature in the Review Tab in word 2010 is Compare which allows the comparing of original and revised documents showing the differences. A ‘cut down’ version of this is comparing text styles on the Reveal Formatting Pane.</li>
</ol>
