This is a section in our <a href="https://www.jplcomputer.co.uk/advanced-word-training-course/">Advanced Word training course</a> and covers how you can use this feature in your documents.</p>
<p>&nbsp;</p>
<p>We are currently undertaking some bespoke training for a legal firm in Gloucestershire who require knowledge and use of this feature. This course focuses purely on Word options for them but track changes is probably the most important as it allows staff to amend documents and pass them to others for comments.</p>
<p>Track changes is a very useful and powerful tool that you can use within Word. However compared to other features it isn’t always a well known feature in the package. So, because of this, this week’s hint and tip is all about track changes. We’ve done a video blog on it to talk you through it which you can see below.</p>
<p>The track changes feature in Word allows you to highlight any alterations that are made in a document. This is good if you want to send a document to someone for them to look over. The feature allows alterations to be made that you can then go through and accept or reject.</p>
<p>&nbsp;</p>
<p>The video below shows you how to use the track change feature within a Word document. It also shows how it can be beneficial for you especially if you are working on a document with a number of people.</p>

<h3>Using Word to create smart letters and using a Table of Contents for easier navigation!</h3>
<p>Word is sometimes a <a href="https://www.jplcomputer.co.uk/microsoft-office-training.html">Microsoft Office</a> package that gets overlooked. After all, it’s just like writing on paper isn’t it? As Word is a package that you do not always need a lot of understanding to start using, for example in comparison to formulas/calculations in Excel, it isn’t always the first choice of courses that people want to go on.</p>
<p>However, there are lots of features within Word that can help you with letters. As well as business documents and creating handbooks to name a few! Below are some hints and tips on Word and some of the features that you can use in the package.</p>
<p>&nbsp;</p>
<h3>Hints &amp; Tips</h3>
<p><strong>Screenshot clippings</strong> allow you to crop a frame from another Window on your PC and embed it into your document.<img decoding="async" width="120" height="20" class="alignright wp-image-2799" src="https://www.jplcomputer.co.uk/wp-content/uploads/2013/05/Screen-Clipping-image.jpg" alt="Screen Clipping image" /> This is the same as taking a screenshot of a window and then cropping it. Except it is like a shortcut way of doing it!</p>
<p>&nbsp;</p>
<p><img decoding="async" width="93" height="32" class="wp-image-2800 size-full alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2013/05/SmartArt-image.jpg" alt="SmartArt image" /><strong>Smart Art</strong> allows you to insert diagrams into your document to display information in a more visual way. Some examples being block and hierarchy diagrams.</p>

<p><strong>Inserting Watermarks</strong> in your document is a good way to protect the content within them. You can either insert a picture <img decoding="async" width="67" height="71" class=" wp-image-2802 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2013/05/Watermark-image.jpg" alt="Word training Worcestershire - Watermark image" />or text watermark depending on what you require!</p>

<p><img decoding="async" width="161" height="86" class="wp-image-2801 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2013/05/Table-of-Contents-image.jpg" alt="Table of Contents image" /><strong>Table of Contents</strong> is a useful feature within Word that quite a few people might have seen in use. However, not everyone knows how to create it!<br />
To create a table of contents efficiently and quickly there are a few pre-requisites that you need to know about before you begin. You firstly need to have your Styles correctly in your document, e.g. Heading 1, Heading 2, etc. Most text in your document will have a normal style applied to it by default. It is also important to have page numbers in your footer. Once you apply the heading styles to your headings in your documents you can then insert a table of contents. You do so by selecting the style you want, and how many levels you require through the References Tab. You can automatically update it by pressing the F9 key on your keyboard. Maybe this list of our top ten will be helpful to you.</p>
<ol>
<li>Selecting text &#8211; the &#8220;triple click&#8221; on a word will highlight the whole paragraph</li>
<li>You can create autotext and Quick Parts for short phrases or block text respectively to save time</li>
<li>Screenshots and screen clipping allow you to insert parts of an alternative window on a PC into your Word document</li>
<li>To compare the differences between documents, use Review Compare</li>
<li>The F9 button updates a Table of Contents and Bibliography</li>
<li>Where possible use Heading styles of 1,2,3 so that you can take advantage of Outline numbering and TOC&#8217;s</li>
<li>To insert a column break, its hidden away in Page Layout, Breaks</li>
<li>To insert a Watermark into a document, choose Page Layout Tab</li>
<li>In Word 2013 you can do convert a PDF back in to Word</li>
<li>Try Email mail merge marketing from an Excel spreadsheet containing names and email addresses</li>

<h4>Mail Merge</h4>
<p>Mail Merge is one of the most useful facilities within the Microsoft Office suite of programs and which we will go in to a bit more detail below with more tips on it. We cover mail merge in our <a href="https://www.jplcomputer.co.uk/intermediate-word-training-course/">Intermediate Word training course</a>.</p>
<p>It is possible to mail merge from Excel into Outlook and Access into Excel as just two examples.</p>
<p>I often start with my data sitting in Excel as a single worksheet. Take for example a customer address list. A list of prospects or customers can be entered as separate rows into Excel with clear column headings e.g. Customer name, address 1, post code etc.</p>
<p>You can then import this list into Outlook as a new set of Outlook contacts or indeed as a new Access table to start off your database.</p>
<p>Excel worksheets are also particularly useful for compiling form letters and producing mailing labels for customers.</p>
<p>They&#8217;re real time savers!!</p>

<p><img decoding="async" width="115" height="105" class="size-full wp-image-8408 alignright" src="https://www.jplcomputer.co.uk/wp-content/uploads/2021/05/Word-icon-e1628864504273.jpg" alt="microsoft courses: Word icon" />Word is a useful Microsoft Office package and there are lots of areas to learn something new within it. Here are five things you might not have known about previously:</p>
<ol>
<li><strong>A tick bullet point</strong>. A tick bullet point is now an option under the bullet points button. However, it didn’t always used to be! If the option to have a tick as a bullet point isn’t available to you follow these steps to do it. To create a bullet tick change font to Windings 2 and then do a Shift P – hey presto a tick!</li>
<li><strong>Autotext</strong>. To save you time use Autotext. File, options, Proofing, Auto correct options and choose to replace a phrase with a short acronym. E.g. you can create fyi as autotext to show ‘for your information’</li>
<li><strong>Quick parts</strong>. A Quick part is used for block text or graphics like your address with a logo. To use this option, type out the information you want as a quick part, highlight it and then go to Insert Tab and Quick Parts option and select the option to save to quick part gallery. It will then be there for you to insert at a later date.</li>
<li><strong>Styles</strong>. There are many Styles that you can use within Word. Look at the Style area on the Home Tab. Try typing your name in to a document, highlight it and then change to Heading 1 by selecting it. You can see what the style will look like on the text that you have selected by hovering your mouse over the style before</li>
<li><strong>Compare documents</strong>. A really useful feature in the Review Tab in word 2010 is Compare which allows the comparing of original and revised documents showing the differences. A ‘cut down’ version of this is comparing text styles on the Reveal Formatting Pane.</li>
